4. Your Documents and AI Processing
Your documents are your own. We do not use your documents to train our AI models or share them with third parties. Your Knowledge Base content is stored securely and only accessible to you.
When you generate documents using AiFiler, your inputs are processed by our AI systems to create outputs. These inputs and outputs are associated with your account but are not used to improve our models for other users.
5. Data Security
We implement appropriate technical and organizational security measures to protect your personal information, including:
- Encryption of data in transit and at rest
- Secure authentication and access controls
- Regular security assessments and monitoring
- Limited employee access to personal data
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you services. You may request deletion of your account and associated data at any time by contacting us.
7. Third-Party Services
We use trusted third-party services to operate our platform:
- Stripe — Payment processing
- Supabase — Database and authentication
- OpenAI / Anthropic — AI processing
- Google Calendar — Calendar integration (optional, user-initiated)
These providers have their own privacy policies governing their use of your information.
8. Google Calendar Integration
AiFiler offers an optional integration with Google Calendar. This section describes how we access, use, and protect your Google Calendar data.
Data We Access
When you connect your Google Calendar account, we request access to the following Google API scopes:
- Calendar (read/write) — To import your calendar events into AiFiler and export AiFiler deadline events to your Google Calendar
- Email address — To identify your Google account
- Profile information — To display your name in the integration settings
How We Use Your Calendar Data
We use your Google Calendar data solely to:
- Display your calendar events within AiFiler’s unified calendar view
- Link documents to relevant meetings for AI-powered meeting preparation
- Create and update events in your Google Calendar when you enable deadline synchronization
- Provide bidirectional sync so edits in either platform stay in sync
We do not use your Google Calendar data to train AI models, serve advertising, or for any purpose unrelated to providing the integration features described above.
Data Storage and Security
- OAuth tokens are encrypted at rest using AES-256-GCM encryption
- Calendar event data is stored in our Supabase database with Row Level Security (RLS) policies ensuring only you can access your data
- All data transmission uses TLS 1.2 or higher
- We retain synced calendar data only while your integration is active
Revoking Access
You can disconnect Google Calendar at any time from your AiFiler account settings. When you disconnect:
- Your OAuth tokens are immediately revoked and deleted
- Synced calendar data is removed from our systems
- You can also revoke access directly from your Google Account permissions page
Google API Services User Data Policy
AiFiler's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We limit our use of Google user data to providing and improving user-facing features that are visible and prominent in AiFiler's interface.
9. Your Rights
Depending on your location, you may have the right to:
- Access your personal information
- Correct inaccurate data
- Request deletion of your data
- Object to or restrict processing
- Data portability
- Withdraw consent

10. Cookies

13. Data Breach Notification
In the event of a data breach that affects your personal information, we will:
- Notify affected users within 72 hours of discovering the breach
- Describe the nature of the breach and the data affected
- Outline the remedial measures we are taking
- Provide guidance on steps you can take to protect yourself
Notification will be sent via email to the address associated with your account and displayed as an in-app notification.

AiFiler is not intended for use by children under 18 years of age. We do not knowingly collect personal information from children.
