You're Still Moving Documents One at a Time
It's Friday afternoon. You've got 300 client documents scattered across your workspace. Some are in the wrong folder. Others need tags. A few should be shared with your team. And you're sitting there, clicking, dragging, and thinking about how much you hate this part of your job.
Here's the thing: you don't have to.

2. Bulk Tag in Seconds Using the Batch Menu (Save 30 minutes)
What: Select multiple documents, then click the three-dot menu that appears in the toolbar. Choose "Add Tags" to apply the same tag to your entire selection at once.
Why: Tagging 100 documents individually takes an hour. Doing it in batch takes two minutes. The difference compounds across your year.
How:
- Select your documents (see tip #1)
- Look for the batch action menu in the toolbar (three dots)
- Click "Add Tags"
- Type or select the tag you want to apply
- Hit Enter—done. All 100 documents now have that tag
You can add multiple tags in one go. If you need to remove a tag from your batch, the menu also has "Remove Tags." Same speed, opposite direction.
3. Move Folders in Bulk Using Universal Command (Save 25 minutes)
What: Press Ctrl+Shift+A to open Universal Command, then type "move" to trigger bulk move operations.
Why: The batch move dialog in Universal Command understands context. If you've selected 50 documents from different folders, it'll move them all to a single destination in one operation.
How:
- Select your documents
- Press
Ctrl+Shift+Ato open Universal Command - Type "move" and select "Move to Folder"
- Choose your destination folder
- Confirm—your entire selection moves instantly
This works across folder boundaries. You can grab documents from five different folders and move them all to one place without switching views.
4. Share Documents with Your Team in Bulk (Save 40 minutes)
What: Select documents, open the batch menu, and choose "Share." You can set permissions for everyone at once.
Why: Sharing one document at a time means repeating the same permission dialog 50 times. Batch sharing means doing it once.
How:
- Select your documents
- Click the batch menu (three dots)
- Choose "Share"
- Select the team members or groups you want to share with
- Set their permission level (Viewer, Editor, or Owner)
- Confirm—everyone now has access
The permission level applies to all selected documents. If you need different permissions for different docs, you'll need to split your selection, but for most workflows, everyone in a batch gets the same access level.
5. Delete Multiple Documents Safely (Save 10 minutes + regret)
What: Select documents, open the batch menu, and choose "Delete." AiFiler moves them to trash (not permanent deletion).
Why: Deleting in bulk is fast. Accidentally deleting the wrong document is slow and painful. AiFiler's trash system gives you a safety net.

- Confirm the deletion—documents go to trash
- If you made a mistake, go to Settings → Trash and restore them

6. Apply Metadata in Bulk Using Batch Edit (Save 35 minutes)
What: Select documents and use the batch edit panel to update custom fields, dates, and other metadata across your selection.
Why: Metadata makes your documents searchable. Doing it in bulk means you actually do it instead of skipping it because it's tedious.
How:
- Select your documents
- Open the batch menu and choose "Edit Metadata"
- Update any fields you want to change (client name, project, deadline, etc.)
- The changes apply to all selected documents at once
This is where batch operations really shine. You can take 200 documents that have no metadata and make them fully searchable in five minutes. Without batch operations, you'd need 20 minutes per document.
7. Use Filters + Batch Operations for Surgical Precision (Save 1 hour)
What: Combine AiFiler's search and filter system with batch operations to target exactly the documents you need without manual selection.
