It's Wednesday afternoon. Your client needs three documents for Friday's presentation: the latest proposal, the competitive analysis you finished last month, and those contract templates from Q1. You know they exist. You're pretty sure they're in one of your shared drives. Finding them before 5pm is another story.
This scenario plays out constantly for consultants, agencies, and service teams. Client deliverables scatter across email, shared folders, and your own workspace. Versions multiply. Context gets lost. When a deadline hits, you're not delivering work—you're searching for work.
AiFiler changes this. By treating your client materials as a connected knowledge system instead of a folder structure, you can organize deliverables once and find them instantly. Here's how to set it up.
The Setup: Create a Client Workspace Structure
Start by thinking about your client relationships, not your folder hierarchy.
Step 1: Create a workspace folder for the client
Open AiFiler and click the New button (top left of the sidebar). Select Folder and name it after your client: Acme Corp – Active Projects. This becomes your single source of truth for everything Acme-related.
Don't overthink the naming. Use the client name and a status tag (Active, Archive, On Hold). You'll search by content, not folder names.
Step 2: Add a metadata tag for project type
Once the folder is created, right-click it and select Add Tag. Create tags like:
proposalcontractdeliverableresearchinternal
These tags let you filter quickly when you're building a package. More importantly, they feed into AiFiler's knowledge graph, which connects related documents automatically.
Step 3: Upload your existing client materials
Drag and drop (or use Upload) to move relevant documents into the client folder. Include:
- Previous proposals and contracts
- Email attachments you've saved
- Research documents and competitive analyses
- Internal notes and project briefs
- Approved templates
Don't worry about organization yet. AiFiler will index everything and surface connections you didn't know existed.
Pro tip: Use AiFiler's Batch Operations to tag multiple documents at once. Select all your proposal PDFs, right-click, and choose Batch Tag. Apply proposal to 20 documents in 10 seconds instead of one by one.
Building the Delivery Package: Using Universal Command
This is where AI saves you time. Instead of manually hunting for documents, you describe what you need.
Step 4: Open Universal Command and request your deliverables
Press Ctrl+Shift+A (or Cmd+Shift+A on Mac) to open Universal Command. Type something like:
Show me all Acme deliverables from Q1 2025 that are marked final
AiFiler parses this intent and returns:
- Documents tagged
deliverablein the Acme folder - Created or modified in Q1
- With "final" in the filename or content
You get back a curated list in seconds. No folder diving. No "was it in Marketing or Sales?"
Step 5: Create a delivery collection
From the search results, select the three documents you need (checkbox next to each). Click Add to Collection and name it Acme – Friday Presentation. This creates a lightweight container that groups them without moving files.
Collections are powerful because they're temporary. You're not reorganizing your entire system—you're assembling what matters for this moment. The documents stay in their original folders and remain connected to other projects.
Pro tip: Use the Knowledge Graph View (click the graph icon on any collection) to see how these three documents relate to each other. You might notice they all reference the same competitor or share contract language. That context helps you deliver with more confidence and catch inconsistencies before the client sees them.
Tracking Versions and Approvals
Client work always involves revisions. AiFiler's version history keeps you sane.
Step 6: Enable version tracking on your collection
In the collection details, toggle Track Versions. Now every time you upload a new version of a document, AiFiler timestamps it and keeps the old one accessible.
When your client says "use the proposal from before you added that pricing section," you don't have to guess. You can see every version, who uploaded it, and when.
Step 7: Add approval notes
Before you deliver, click the three-dot menu on each document in the collection and select Add Note. Write something like:
Approved by Sarah Chen on 3/12/25 – Ready for client delivery
These notes appear in the document's metadata. When your client asks "who signed off on this," you have the answer without digging through email.
The Delivery: One Link, Full Context
Here's the payoff.
Step 8: Share the collection
Click Share on your collection. AiFiler generates a single link that gives your client access to all three documents. They see:
- The documents themselves
- Modification dates and version history
- Any approval notes you added
- Related documents (from the knowledge graph) if you want to include them
One link. No email attachments. No "I'm sending three separate files." No confusion about which version is current.
Your client clicks once and gets everything they need. If they ask for changes, you upload a new version to the same collection. The link doesn't change. They refresh and see the latest.
What You've Built
You now have a repeatable system for client deliverables:
- A single workspace where all client materials live and connect automatically
- Fast retrieval using Universal Command instead of folder hunting
- Versioning and approval trails so you never deliver outdated work
- One-link delivery that's cleaner and more professional than email
The next time a client asks for materials, you don't spend an hour searching. You spend 5 minutes assembling a collection and 30 seconds generating a share link.
More importantly, your knowledge graph now knows which documents belong together. When you're planning a new proposal for this client, AiFiler suggests related research and past contracts automatically. You're not starting from scratch—you're building on a foundation.
That's what turns document chaos into a competitive advantage.
Beyond the Basics
Once you're comfortable with this workflow, consider:
- Tagging by decision-maker: Add tags like
client-exec,client-legal,client-finance. When you need "everything the CFO needs to see," search for those tags. - Linking to project records: If you use AiFiler's Matrix feature for project tracking, link your deliverable collections to the corresponding project row. Now you have a single source of truth for project status and deliverables.
- Setting up templates: Create a "Deliverable Template" collection with your standard documents (NDAs, SOWs, MSAs). Clone it for each new client engagement and customize from there.
The system scales because it's built on connections, not folders.
