The 11pm Problem
It's late. The client presentation is tomorrow morning. You know you created that market analysis somewhere—maybe it's in Slack, maybe it's buried in email, maybe it's in a shared drive folder with a name that made sense six weeks ago. You've got 30 minutes to find it, review it, and make sure it matches what you promised.
This is where most client-facing teams live: documents scattered, versions unclear, context lost. By the time you find the right file, you're too tired to notice if it's actually the final version.
The fix isn't fancy project management software. It's a system that treats your client work like what it is—a connected set of deliverables that need to stay organized, searchable, and ready to hand over.
Here's how to build that system in AiFiler.
What You'll Build
By the end of this workflow, you'll have:
- A single searchable archive of all client work organized by client and project
- Automatic tagging and connections between related documents (contracts, briefs, drafts, final deliverables)
- A quick-reference view showing what's been delivered and what's due
- AI-powered search that finds "that analysis we did last quarter" in seconds, not minutes
You won't need to remember folder structures or naming conventions. You'll ask, and AiFiler finds it.
Step 1: Create a Client Deliverables Matrix
Start by setting up a Matrix (AiFiler's spreadsheet-like data structure) to track all your client projects and what they contain.
- Open AiFiler and click New (top-left corner)
- Select Matrix from the create menu
- Name it
Client Deliverables Master - Add these columns:
- Client Name (text)
- Project Title (text)
- Deliverable Type (dropdown: "Report", "Analysis", "Presentation", "Strategy Brief", "Other")
- Status (dropdown: "In Progress", "Ready for Review", "Delivered", "Archived")
- Due Date (date field)
- Files (link to documents)
This becomes your single source of truth. Every client project gets one row. Every deliverable gets linked to that row.
Pro tip: Use the Status column as your filter. Sort by "Due Date" and you immediately see what's due this week. No calendar switching, no Slack hunting.
Step 2: Ingest Your Existing Client Documents
You probably have client work scattered across drives, emails, and old projects. Bring it into AiFiler.
- Gather all existing client documents into one folder on your computer (or leave them where they are—AiFiler can ingest from multiple locations)
- In AiFiler, click New → Knowledge Base
- Name it
Client Work Archive - Click Add Files and upload or link your client documents
- AiFiler will parse them automatically—extracting text, detecting document type, and making them searchable
Don't worry about perfect naming or organization yet. AiFiler's knowledge graph will connect related documents automatically.
Pro tip: As you're uploading, add a tag to each batch by client name. Click the tag icon on any document and type client:acme-corp or client:startup-xyz. This gives AiFiler semantic hooks for grouping.
Step 3: Use Universal Command to Link Deliverables to Projects
Now connect your documents to your Matrix. This is where the magic happens.
- Open your
Client Deliverables MasterMatrix - Find a project row and click the Files column
- Press Ctrl+Shift+A (or Cmd+Shift+A on Mac) to open Universal Command
- Type the name of a deliverable or client:
"market analysis Q1"or"acme proposal" - Universal Command searches your entire Knowledge Base and returns matching documents
- Click a document to link it to that project row
Repeat for each deliverable. As you link documents, AiFiler's knowledge graph learns the relationships—client → project → deliverable.
Step 4: Set Up a Delivery View
Create a focused view so you can see at a glance what's been delivered and what's pending.
- In your
Client Deliverables MasterMatrix, click the filter icon (funnel shape) - Filter by
Status != "Delivered"to show only active projects - Sort by Due Date (ascending)
- Click Save View and name it
This Week's Deliverables
Now you have a dashboard. Every time you open AiFiler, you see what's due. No hunting. No guessing.
Create a second view for completed work:
- Filter:
Status = "Delivered" - Name it
Delivered Work - Sort by date (descending) so your most recent work is at the top
This becomes your portfolio—proof of what you've shipped.
Step 5: Automate Client Document Discovery with Search Operators
AiFiler's search is more powerful than standard full-text search. Use operators to find documents faster.
Open the Search bar (Ctrl+K / Cmd+K) and try these:
client:acme type:proposal— Find all proposals for Acmestatus:delivered date:>2025-01-01— Find everything delivered after Januarytag:urgent deliverable— Find documents tagged "urgent" containing the word "deliverable""Q1 analysis" client:startup— Find the Q1 analysis for your Startup client
These searches are instant. They work across all your documents, all your projects.
Pro tip: Save your most-used searches. Click the Save button next to any search result and name it Active Acme Deliverables or Pending Client Reviews. Next time you need it, it's one click away.
Step 6: Create a Pre-Delivery Checklist
Before you send anything to a client, use AiFiler to verify you're sending the right version.
- In your Deliverables Matrix, click on a project row
- Click the Files column to see all linked documents for that project
- Open each document and verify:
- Is this the final version? (Check the filename or internal metadata)
- Does it match the original scope? (Skim the key sections)
- Are there any red flags (unfinished sections, placeholder text, internal notes)?
This takes 2–3 minutes per deliverable. It's the difference between shipping confident work and scrambling at 11pm.
