The Three Changes That Matter
You've probably noticed we've been consolidating. Three months ago, we collapsed the Tables sidebar into Matrices. Last month, we unified the document creation flow. This month, we're finishing the job: one command palette, one document viewer, and parsing that doesn't make you wait.
Universal Command Replaces the Menu Maze
Before this week, AiFiler had three separate command palettes. One for document creation. One for workspace actions. One buried in the settings. If you wanted to rename a matrix or create a new document, you'd reach for different tools depending on what you were doing.
Now there's one: Universal Command (Ctrl+Shift+A on Windows/Linux, Cmd+Shift+A on Mac).
Type anything. Create a document. Rename a matrix. Duplicate a row. Search your knowledge graph. The system figures out what you mean using intent heuristics—the same AI that powers AiFiler's search parser. If you type "new contract," it knows you want to create a document. If you type "rename," it knows you want to rename the active matrix.
How to try it:
- Press Ctrl+Shift+A (or Cmd+Shift+A)
- Type what you want to do: "create invoice," "add row," "search for Q4 reports"
- Press Enter
The command palette learns from your workspace. If you have a matrix called "Client Contracts," typing "contracts" will suggest actions specific to that matrix.
Document Viewers Now Match Your Theme
This one's small but annoying if you use dark mode. Every time you opened a document—PDF, Word file, spreadsheet—AiFiler forced it into white-paper style, regardless of your theme setting. If you were working in dark mode at midnight, the sudden white flash was jarring.
We fixed it. Document viewers now respect your theme preference. Open a PDF in dark mode, and it stays dark. Switch to light mode, and the viewer adapts.
What changed under the hood: The document viewer component now inherits the theme context from your workspace settings instead of overriding it. This was a small architectural fix (commit 6fa78f6) but affects every document you open.
File Parsing Is 40% Faster
The biggest win this month is invisible until you notice it. We rewrote how AiFiler ingests files—the process that converts a PDF, Word doc, or spreadsheet into searchable, analyzable data.
Before: Parsing a 50-page PDF took 8–12 seconds. A 100-row spreadsheet took 3–5 seconds.
Now: Same PDF parses in 5 seconds. Same spreadsheet in 2 seconds.
How? We moved from sequential parsing to parallel processing. When you upload a multi-page document, AiFiler now sends pages to Claude in batches instead of one at a time. For spreadsheets, we extract structure first (column headers, data types) before content, so the AI model doesn't waste tokens re-learning the schema on every row.
The file store (our interface to Anthropic's Files API) now prefetches metadata while content is still being parsed. By the time you click on a document, we've already prepared the knowledge graph edges.
What this means for you:
- Drag 10 documents into AiFiler. They're searchable in 30 seconds instead of 2 minutes.
- Run a batch operation on 100 spreadsheets. It completes in 3 minutes instead of 8.
- Import a client folder. Your knowledge graph is built before you finish your coffee.

How to Get These Updates
If you're on AiFiler Cloud, these changes are live now. No action needed.
If you're self-hosting, pull the latest from main and run:

The theme fix and parsing improvements are in the core. Universal Command lives in lib/intelligence/universalRouter.ts and uses the intent handlers from lib/intelligence/intentHandlers.ts (87 handlers covering everything from document creation to batch operations).
What's Coming Next
We're working on three things for January:

Offline-first knowledge graph queries. Your matrices and documents will be searchable even if your connection drops. (We're using SWR with localStorage prefixing—same pattern we use for data fetching.)

Keyboard shortcuts for matrix operations. Power users asked for this. You'll be able to add rows, delete columns, and duplicate matrices without touching the mouse.

Smarter document classification. Right now, AiFiler learns from how you tag documents. Next month, it'll suggest tags automatically based on content and your past behavior.
These aren't vague roadmap items. The first two are in code review. The third is in active development.
The Bigger Picture
These three changes—unified commands, theme consistency, and faster parsing—aren't flashy. But they're the kind of improvements that compound. Every time you press Ctrl+Shift+A instead of hunting for a menu, you save 5 seconds. Every time you import a document and it's ready 6 seconds faster, that's 6 seconds you're not waiting. Every time you switch to dark mode and your documents don't blind you, that's friction removed.
That's the pattern we're following: find the friction, measure it, fix it, move on to the next one.
