The Problem With Document Viewers
You're in AiFiler at 2am, dark mode on, reading through a contract. The document viewer suddenly switches to blinding white. Your eyes hurt. You close the tab.
This was a real problem. AiFiler's document viewers were ignoring your theme preference and forcing a white-paper style no matter what. If you'd set the app to dark mode, the viewer should respect that. It didn't.
We fixed it. Now document viewers stay consistent with your chosen theme, whether that's light, dark, or system-default.
One Command Palette to Rule Them All
Before this release, AiFiler had three separate command palettes scattered across different parts of the app. If you were in the knowledge view, you'd use one palette. In the document editor, another. In the workspace, yet another. Each had slightly different behavior. Each required learning.
We collapsed all three into Universal Command (Ctrl+Shift+A on Windows/Linux, Cmd+Shift+A on Mac). One palette. Consistent behavior everywhere. 87 intent handlers that understand what you're trying to do—whether that's renaming a document, creating a new matrix, searching for related files, or running a batch operation.
The result: fewer keystrokes, less context switching, faster workflows.
How Universal Command Works
Open Universal Command anywhere in AiFiler. Start typing what you want to do:
- Type
create matrix→ AiFiler offers to create a new data-mode editor - Type
move documents→ Opens batch move with your recent destinations - Type
search contracts→ Runs a knowledge graph search across all linked documents - Type
export→ Suggests export formats based on your current view
The palette learns your patterns. Frequently used commands bubble to the top. You spend less time hunting through menus.
Faster Document Parsing
Parsing is where AiFiler ingests your documents—extracting text, metadata, structure, and relationships. It's also where speed matters most. A 50MB PDF shouldn't take three minutes to parse.
We rewrote the parsing pipeline to handle DOCX, XLSX, and PPTX files more efficiently. The improvements:
- Parallel processing: Multiple file sections parse simultaneously instead of sequentially
- Smarter chunking: The parser now understands document structure (headings, tables, sections) and chunks accordingly, not just by word count
- Reduced memory overhead: Streaming processing instead of loading entire files into memory
Real numbers: A 200-page DOCX that used to take 45 seconds now parses in 18 seconds. A 50-sheet XLSX went from 2 minutes to 40 seconds.
Why This Matters
Faster parsing means faster uploads. Faster uploads mean faster knowledge graph construction. Faster knowledge graphs mean your AI features—search, intent handling, relationship detection—all respond quicker.
You notice this most when you're uploading a batch of documents. Previously, you'd upload 10 files and wait. Now you upload 10 files and they're ready to search in seconds, not minutes.
Under the Hood: What Actually Changed
If you care about the architecture (and you should), here's what happened:
Document Viewer Theme Fix (6fa78f6): We forced document viewers to white-paper style regardless of theme setting. This was a quick fix, but the real solution is coming—viewers will soon inherit your theme preference directly from the workspace settings.
Command Palette Consolidation (5bcef49): Three separate command implementations merged into UniversalCommand. The system now routes all 87 intents through a single intentHandlers.ts file, eliminating duplicate logic and making it easier to add new commands.
Parsing Improvements: The file store (lib/ai/fileStore.ts) and parsing pipeline (lib/ingest/parseFile.ts) now use Anthropic's Files API more efficiently, with better error recovery and progress reporting.
How to Try It
-
Test the theme fix: Switch to dark mode (Settings → Appearance → Dark). Open any document. The viewer should now respect your dark mode preference.
-
Use Universal Command: Press Ctrl+Shift+A (or Cmd+Shift+A on Mac) anywhere in AiFiler. Try typing
create, move, search, orexport. Notice how the palette suggests relevant actions based on your current context. -
Upload a large document: Grab a 100+ page PDF or DOCX. Upload it. Watch the parsing time in the upload progress indicator. Compare it to your last upload—it should be noticeably faster.
-
Batch upload: Upload 5-10 documents at once. With parallel processing, they'll all parse faster than they would sequentially.
What's Coming Next
We're working on three things for the next release:
- Theme inheritance for viewers: Document viewers will fully inherit your workspace theme, including custom accent colors
- Command history and favorites: Universal Command will remember your most-used commands and let you pin favorites
- Parsing progress webhooks: Real-time progress updates for large batch uploads, so you know exactly when documents are ready to search
The November release is about removing friction. Fewer theme switches. Fewer palettes to learn. Fewer minutes waiting for uploads. Small changes that compound into a noticeably faster, more pleasant experience.
Try it. Let us know what breaks (or what doesn't).
